Project Manager

The Project Manager (PM) is a critical supporting role to the Client Success Managers (CSMs) and works closely with the internal delivery team to ensure the execution of successful digital marketing campaigns using agile agency methodologies. The Project Manager will lead the charge of project work, and be the lead Project Manager on key accounts in partnership with the Client Success Managers. Your responsibilities will include setting clear project goals and client expectations, regular updates, scheduling employees’ time, clearly documenting all client requests, and preventing scope creep, among other detailed-oriented tasks. The work is fast-paced, and includes a lot of pulling things together from many different stakeholders – clients, the client success team, the delivery team, and freelancers. This person should have strong skills in organization, communication, attention to detail and effective relationship management, as well as have knowledge in managing inbound & digital marketing projects. The candidate for this role should be a self-starter, with a strong sense of accountability, and initiative.

The Project Manager’s responsibilities include:

  • Assisting in the creation of SOWs for out of scope work, as well as incoming new business contracts
  • Ensuring that as new business is brought in, that all milestones and planning of work is communicated, planned, and documented internally according to what is expected as a result of the sales process, and that clients are apprised throughout the life of the project and/or account
  • Managing all work within the agency within our project management system, and ensuring that work stays timely, and profitable by keeping a close eye on deliverables and resource allocation
  • Champion accurate alignment of client expectations to project scope of work
  • Identifying opportunities for process improvements, and own the documenting of process additions or changes to help increase efficiencies
  • Tracking capacity and utility for internal team’s bandwidth, and allocate proper resources and time to different marketing activities
  • Assisting the Client Success Managers with pre-planning and planning the month’s work (Sprint Planning) for their respective accounts by notating, documenting and updating our internal planning documents, and project management system
  • Maintaining and updating our project management system throughout each Sprint
  • Attending daily huddles to keep projects and tasks on track
  • Coordinating the flow of deliverables between the Client Delivery Team, and the Client Success Team, and keeping campaigns on track by identifying potential roadblocks and communicating with the correct internal stakeholders to move planned work along
  • Helping keep project-based work on time, and profitable by watching for inefficiencies
  • Assisting the Client Success Managers in proofing deliverables for on-brand messaging, on-strategy execution, and campaign compliance
  • Engaging in extensive collaboration with internal team
  • Supporting the CSM during Sprints and by attending Sprint Retrospectives to ensure account strategies and associated campaigns are remaining in line with Sprint Plans as well as account goals
  • Documenting important account information and assist the CSM in creating campaign and creative briefs to provide Client Delivery Team S.M.A.R.T.-goal oriented context
  • Scheduling all accounts’ social media content as provided by Brand Journalists, and assist Brand Journalists with social calendar creation and the monitoring of accounts to increase audience engagement
  • Assisting the Client Success Managers in proofing deliverables for on-brand messaging, on-strategy execution, and campaign compliance
  • Assisting Client Success Managers with updates for clients’ weekly status emails
  • Attending weekly or biweekly client status meetings led by the CSM; take minutes during client status meetings and document next steps
  • Assisting the Client Success & Delivery Teams with the execution of end of month reporting by compiling and ensuring all data is documented within clients’ Results Runways
  • Supporting Client Success Team & Business Development in preparing for prospect, client meetings, and greeting clients; Attend all account kick-off and onboarding meetings to document and capture the dialogue
  • Executing other supporting tasks as needed
  • Executing other administrative duties as necessary

Attributes and Skills: To perform the job successfully, an individual should demonstrate the following.

  • 2-3 years’ project management experience, preferably within an agency setting
